Personal data of Club members are processed by FC VVC for the following purpose(s):

  • Administrative purposes;
  • Membership agreement;
  • Carrying out contribution collection or issuing an assignment for contribution collection via a Collection agency.
  • Communication about membership and/or invitations;
  • Historical statistics

The basis for these personal data is:

  • The Membership agreement, (paper or digital form on the website);

Personal data of Newsletter subscribers are processed by FC VVC for the following purpose(s):

  • Informing the person through news releases.

  • The Newsletter subscription form;

Processing of Personal Data of Prospects, Stakeholder/Lobby Contacts, and/or Interested Parties

  • During the period that one has a contract and thereafter only in the financial administration for a maximum of 7 years.

Provision to Third Parties

The data you provide to us may be passed on to third parties if this is necessary for the execution of the purposes described above.

For example, we may use a third party for:

  • Providing the applications Sportlink Services and Arbitration Online;
  • Providing the (financial) administration;
  • Providing newsletters and invitations.

We never pass on personal data to other parties with whom we have not concluded a processor agreement. With these parties (processors), we naturally make the necessary arrangements to ensure the security of your personal data. Furthermore, we will not provide the data you have provided to other parties unless this is legally required and permitted. An example of this is that the police request (personal) data from us as part of an investigation. In such a case, we are obliged to cooperate and are therefore required to provide this data. We may also share personal data with third parties if you give us written permission to do so.

Within the EU

We do not provide personal data to parties located outside the EU.

Minors

We only process personal data of minors (persons under 16 years of age) if written consent has been given by the parent, guardian, or legal representative.

Retention Period

FC VVC does not retain personal data longer than necessary for the purpose for which it was provided or as required by law.

Security

We have taken appropriate technical and organizational measures to protect your personal data against unlawful processing, for example, we have taken the following measures;

  • All persons who can access your data on behalf of FC VVC are obliged to maintain confidentiality.
  • We have a username and password policy on all our systems;
  • We pseudonymize and encrypt personal data if there is reason to do so;
  • We make backups of the personal data to be able to restore them in case of physical or technical incidents;
  • Our employees and volunteers are informed about the importance of protecting personal data.

Rights Regarding your Data

You have the right to access, rectify, or delete the personal data we have received from you. You can also object to the processing of your personal data (or a part thereof) by us or by one of our processors. You also have the right to have the data you provided to us transferred to yourself or directly to another party on your behalf. We may ask you to identify yourself before we can comply with the aforementioned requests.

If we may process your personal data based on your consent, you always have the right to withdraw this consent.

Complaints

If you have a complaint about the processing of your personal data, we ask you to contact us directly about it. If we cannot resolve it with you, we find this very unfortunate. You always have the right to file a complaint with the Data Protection Authority, which is the supervisory authority in the field of privacy protection.
